Terms of Service

1. Acceptance of terms
By creating an account or using OxPro (“the Service”), you agree to be bound by these Terms of Service (“Terms”). If you do not agree, do not use the Service. These Terms apply to all users including individuals and businesses.
2. Description of service
OxPro is an AI-powered operations intelligence platform that helps businesses map workflows, detect operational issues, and generate process documentation. We provide a 7-day free trial on all plans. After the trial, a paid subscription is required to continue using the Service.
3. Account registration
You must:
- Provide accurate and complete registration information.
- Keep your password secure and not share your account credentials.
- Notify us immediately of any unauthorised use of your account.
- Be at least 18 years old or have the legal capacity to enter into a contract in your jurisdiction.
4. Free trial and billing
We offer a 7-day free trial on all plans. No credit card is required to start a trial. After 7 days, you must subscribe to a paid plan to continue using OxPro. Subscription fees are billed monthly or annually in advance and are non-refundable except as described in Section 5.
Prices are displayed on our pricing page and may be updated with 30 days' notice to existing subscribers. All prices are exclusive of VAT where applicable.
5. Cancellation and refunds
You may cancel your subscription at any time. Upon cancellation, you will retain access to the Service until the end of your current billing period. We do not provide pro-rata refunds for unused time.
If you experience a material service failure that we cannot resolve within 72 hours, you may request a pro-rata refund by contacting hello@oxpro.org.
6. Acceptable use
You agree not to:
- Use the Service for any unlawful purpose or in violation of any regulations.
- Attempt to gain unauthorised access to our systems or other users' accounts.
- Reverse-engineer, copy, or resell any part of the Service without our written consent.
- Upload or transmit any malicious code or content.
- Interfere with the proper operation of the Service.
- Use the Service to store or transmit content that is illegal, defamatory, or infringing on third-party rights.
7. Intellectual property
OxPro and all related intellectual property (including our software, AI models, brand, and content) remain the exclusive property of OxPro. You are granted a limited, non-exclusive, non-transferable licence to use the Service for your internal business purposes only.
You retain ownership of all data you input into the Service. By using the Service, you grant us a limited licence to process your data solely for the purpose of providing the Service.
8. AI-generated content
OxPro uses AI to generate workflow analyses, health scores, SOPs, and recommendations. This content is provided for informational and operational guidance purposes only and does not constitute professional, legal, financial, or business advice. You are responsible for reviewing and verifying AI-generated content before acting on it.
9. Availability and uptime
We aim for 99.5% monthly uptime. Planned maintenance will be communicated in advance. We are not liable for downtime caused by third-party infrastructure, force majeure events, or circumstances outside our reasonable control.
10. Limitation of liability
To the maximum extent permitted by law, OxPro's total liability for any claim arising from these Terms or the Service shall not exceed the amount you paid us in the 3 months preceding the claim. We are not liable for indirect, incidental, consequential, or punitive damages.
11. Termination
We reserve the right to suspend or terminate your account if you breach these Terms. You may terminate your account at any time from your account settings. Upon termination, your data will be deleted per our Privacy Policy.
12. Governing law
These Terms are governed by the laws of England and Wales. Any disputes will be resolved in the courts of England and Wales. If you are a consumer in the EU, you may also have rights under EU consumer protection laws.
13. Changes to terms
We may update these Terms at any time. Material changes will be communicated via email or in-app notification with at least 14 days' notice. Your continued use of the Service after the effective date constitutes acceptance of the updated Terms.
